Customizing and configuring your organization can be really exciting - let's walk through all the things you can do with Avela. To access your Organization management area, click on your avatar on the top right of the screen and then press the Organization button:
Â
Set up basic information
In this section, you'll configure your organization's basic information as well as contact details - which will be available for families. Once your organization's been created - there are some things that can no longer be edited for your data's integrity, such as name and path - reach out to Avela if you have any questions. As an organization owner, you can modify your timezone or adjust your contact details anytime - here's a step by step on how to do that:
Â
Adding phone numbersÂ
1. Click add phone number, to enter a label (name) and a phone number to go with it.Â
Â
2. The label will display the name of the number on the family's side, so they know which place they're reaching out to when they call. Try to keep your labels brief, so it is easy for families to understand them on their end. Here's an example of what the staff side looks like, and what families see on their Help page:
Â
3. You can add more phone numbers - and remove any you no longer use - anytime by using these buttons:
Â
Adding emails
1. Adding emails works just like adding a phone number, click add email to add a label and an email address for it.
Â
Adding additional resources
You may want to add links to your family's Help page - such as a website you own or a helpdesk site to manage articles, documentations, and requests for help.
Â
1. You can add several additional resources similar to contact details:
Â
2. Add a label and a URL for your resource
Â
3. Just like with other contact details, you can add more than one - and you can remove any you no longer want to use:
Email footer
This footer will be sent out on every email communication - automatic or otherwise - from the platform. It will be your primary way of signaling families for additional resources or help areas, and unlike the rest of the contact information, it is required. Learn more about messaging.
Here's an example of what the footer looks like:

Review licenses & billing
If you have more than one Avela product, you'll be able to review them here. For owners of Explore products, you can review your Explore instances here as well - and you can refresh their data if any changes were made.
Â
Review Tools
Take a look at the several tools at your disposal to personalize your Avela site for families and staff.
Languages
These enable translating the Family portal into several different languages, depending on your license. If you'd like to add more languages, reach out to an Avela success representative.
Scheduling
Allows the organization to schedule exports and sets up the required credential. If you'd like to turn this off, reach out to an Avela success representative.Â
Alerts
Typically, you may populate your Apply and Enroll instances with Family data that you bring over from your SIS or a previous platform. These alerts let you warn families who create their own accounts with a newer contact method - different from the one listed in the SIS or previous platform - and have empty accounts. Reach out to an Avela success representative to set these up or learn more about them

Branding
Customize your colors and logo with ease, anytime you like! You may have previously shared these with Avela as part of Getting started with Avela - well done! If you'd like to make any changes, head to this area to update your colors or logos.
To ensure your brand shines on our platform exactly the way you envision it, we'll need a few key assets from you. Each element plays a crucial role in creating a cohesive and professional presence:
Logos package:
- Your primary logo in both vector format (SVG) and transparent image (PNG).
- Your logo should be sent in two different color variations:
- Whitescale, to be used over dark backgrounds, or your primary brand color.
- Fullcolor or black, to be used over white backgrounds
- The better quality your logo has, the better it'll look on Avela
Why is this important?
Avela's commited to meeting accessibility WCAG AA standards, and this ensures crystal-clear display across all screen sizes and contexts - regardless of zoom reading level.
Â
Brand Colors:
Your official color, in hex color format (#FFF000). Depending on your brand color and its contrast check rating, we may reach out to suggest an alternative that meets accessibility standards.
Why is this important?
We'll use these to create a consistent visual experience that matches your brand guidelines, so Families can easily identify your Avela portal with your organization, without compromising legibility.
