Sometimes, schools want to give siblings a better chance of getting in together. Avela helps you achieve this when running a lottery, but there are instances where this is also desired after the lottery. This rule helps make that happen!
Depending on how you’d like to set it up, it can check when one sibling meets a criteria and makes sure the other sibling gets a tag that moves them up on the waitlist — if the school has that kind of policy. This way, you can set this up so it works automatically, with no extra work needed later.
Example
Your policy includes a sibling preference for siblings applying in the same year. If one sibling accepts an offer, the other siblings get the priority.
In this example, I have two siblings, Bart and Lisa, who applied to the same school, Paige Academy. They are both waitlisted at their appropriate grades, 4 and 5.
Bart receives and accepts an offer.
By accepting the offer, Bart's sibling Lisa automatically gets the tag 'Applying sibling', increasing their priority on the waitlist.
How does it work?
- It detects siblings associated to a student
- It uses a rule on the form you want to automate this on
How are siblings created?
Siblings are determined via relationships to Parents. Two students who have at least one of the same parent are considered siblings.
You can also see siblings linked on the student profile and in the form.
How do I add the rule?
Organization admins with permission over management can create rules to automate workflows. Learn more about Teams, roles and members.
- Go to the form you’d like to automate this on, and click on Rules:
Add a rule and select the “Auto tag - Apply or remove tags automatically based on something” option.
Now, create the rule. You can give this rule a name and description so that you remember the purpose of this rule.
First, you need to select the tag to work with. The tag needs to already exist to be configured for a rule to use it. If this tag has not been created yet, you can create one in its form list and then refresh this page. Learn more about creating tags.
Then, select the logic for when you would like to apply this tag as “There’s at least one sibling”.
Optionally, select the schools where this should apply if you want this behavior to be specific to certain schools. If this should apply to all schools, leave it empty.
Select the sub-status siblings should have for the tag to be applied automatically. We typically recommend that this rule is applied when an offer is accepted, but you can select multiple sub-statuses.
Optionally, you can select when this tag should be removed. For example if you want the tag to be removed when there is no acceptance, check the box. That way, if the tag is already applied and the condition is no longer met, it will automatically be removed.
When does the rule run?
Rules run when the sub-status of any siblings change or when a school is added to any of their forms. Tags are automatically applied or removed from forms depending on whether the condition is met or not, and whether or not you've checked the box to remove the tag. The rule runs every time an additional sub-status that is selected occurs.
Removing the tag rule
This check box asks you to determine if the tag should ever be automatically removed. For example, if you have selected that the student should receive the tag when the offer is "Accepted". If you want the tag to be removed when the offer is "Declined" then you should select the checkbox. If you leave it unchecked then once the rule is run and the tag provided, it will never untag.
Removing the rule
You can always delete or edit a rule once you've created it.
Dynamic Sibling is a complex setup that requires the tags, schools and sibling relationships to be true. Removing a tag or school means that the rule could not run anymore so be careful about when you delete tags or schools that could impact rules you’ve already set up.
Specific Setups
Setting up Dynamic Sibling Tagging for all schools that have the same tag.
Setting up Dynamic Sibling Tagging for one school
Setting up Dynamic Sibling on multiple statuses
In this case the tag will be applied and then continue to be applied when a sibling has been offered and then subsequently accepted the offer.
