The Dashboard is the first thing you see when you log into Avela. It gives you a quick, high-level look at how your enrollment season is going — without needing to dig into individual forms or run exports.
Think of it as your enrollment command center: it shows you where applications stand, how submissions are trending over time, and how responses break down by status, grade, and rank — all in one place.
Different staff members may see different levels of information depending on their role, and the data shown will change based on which enrollment period and form you have selected.
Who can see the Dashboard?
The Dashboard is available to all staff members who have the ability to read forms. What you see however, depends on your role:
- Organization and District admins: Can view data across all schools in the organization.
- School-based staff: Will only see data filtered to the schools they are assigned to.

Selecting an enrollment period and form
By default, Avela will show the most recently created enrollment period and the most recently created form within that period. You can switch between different enrollment periods and forms at any time — the charts and metrics on the page will update automatically based on your selection.
At the top of the Dashboard, you'll find two dropdowns that let you choose which enrollment period and form to view data for.
Note: Depending on the type of form selected, some charts may not be available. For example, forms that don't use ordered ranking will not show the "Responses by rank" chart, nor the Rank filter. Similarly, forms without a School ranking section won't show "Admissions by status", "Responses by Rank" or any of the rank filters.
What if there's no data yet?
Depending on how far along your setup is, you may see different states when visiting the Dashboard:
- No enrollment periods or forms exist: You'll see an empty landing page with a prompt to set things up.
- Enrollment period exists, but no forms: The enrollment period selector will show, but there won't be any form data to display.
- Forms exist, but no responses yet: The charts will appear in their empty state — they'll populate once families start submitting.
- Everything is set up with responses: You'll see the full Dashboard with all charts and metrics described below.
Dashboard charts and metrics
Once form responses start coming in, the Dashboard includes the following:
Status summary cards
At the very top of the page, you'll see a row of cards that give you a quick funnel view of how form responses are progressing through the enrollment process. These cards show counts for statuses like:
Each card indicates whether the count represents form responses (counted per school, not unique by student) or school submissions, so you always know what you're looking at.
Where available, clicking a status card can link you directly to filtered form response views — making it easy to jump straight to the data you need.
Important: If your organization is using glossarized terms - like "Complete" instead of "Submitted", the glossarized term will be used in charts.
Response submissions over time
This chart plots the number of form submissions over time using the date each response was last submitted, accumulating the numbers over time. The x-axis shows dates and the y-axis shows the count of responses. It helps you spot trends, peak submission periods, and whether submissions are on track.
Responses by status
This bar chart breaks down form responses by their current status, such as In progress, Submitted, Verified, Ready for lottery, Admissions, and Canceled.
You can filter this chart by school and grade using the dropdown filters above it.
Important: If your organization is using glossarized terms - like "Complete" instead of "Submitted", the glossarized term will be used in this chart, for any status that uses a different term.
Admissions by status
This chart focuses on the admissions sub-statuses, showing how responses break down into categories like Waitlisted, Withdrawn, Removed, Not considered, Offered, Accepted, Declined, and Revoked.
You can filter this chart by school and grade as well.
Important: If your organization is using glossarized terms - like "In lottery" instead of "Admissions", the glossarized term will be used in this chart, for any status that uses a different term.
Responses by rank
This horizontal bar chart shows how many form responses exist at each rank (1 through 10), helping you understand how families are prioritizing schools in their applications.
You can filter this chart by school and grade.
Important: This chart only appears for forms that use ranking. If the selected form does not use ranking, both the chart and its associated rank dropdown filters will be hidden.
Responses by grade
This horizontal bar chart displays form responses broken down by grade level, which will depend entirely on the organization and enrollment period setup — for example, Grade K0 (3 years old), Grade K1 (4 years old), Grade 1, Grade 2, and so on.
You can filter this chart by school and rank.
How chart data is counted
Each chart includes descriptive text and hover tooltips explaining how data is being counted. For example, you may see notes like "Form responses by school, not unique by student" or "Admissions by school, not unique by student."
Important: Form responses set to "Not visible" will not count towards any chart.
Filtering charts
Several charts include dropdown filters that let you narrow down what's displayed:
- School — View data for all schools or a specific one
- Grade — View data for all grades or a specific grade
- Rank — View data for all ranks or select specific ones (where applicable)
- Admissions status — Filter by a specific admissions sub-status
These filters only affect the individual chart they belong to, so you can explore different combinations across the page at the same time.
Where to find the Dashboard?
With the Dashboard, the left navigation menu has been updated - the Home item is new, and will always bring you back to the Dashboard from anywhere in the platform.
