Importing Enrollment periods to rollover

When setting up a new cycle, many of the previous Enrollment period's schools and their configurations - like grades, or programs - are the same as the ones you used before. Instead of recreating these settings from scratch, you can import them from a previous enrollment period. This feature streamlines rollover, reduces errors, and helps you launch your new cycle faster and with more confidence!

After creating the new ernrollment period, go to "Enrollment schools". You'll have two options to rollover from an existing one:

Importing from existing Enrollment periods

1. Select "Import", then click on "From existing enrollment period"

2. Pick the enrollment period you'd like to import from. You'll be able to recognize them by name, ID, or even date it was last modified. You can also easily click on the icon to get to the enrollment period itself and do one last check!

3. Click "Next" to import. Importing enrollment schools, unlike other imports around Avela, will skip any existing settings. So if you started configuring schools with grades and programs before Importing, those will be skiped and not overwritten by the import.

Exporting and Importing a JSON file

Another option is to export the enrollment period you'd like to rollover, and import the resulting file into the new enrollment period. To do this:

1. Select "Export" on the enrollment period's schools you'd like to rollover. It will be downloaded in your browser, and the file will look similar to this:

2. Go to the new enrollment period's schools and select "Import", then click on "From file"

3. An operative system window will let you choose the file to import, select it and proceed to import.
