Every organization is set up differently, and can change as time goes by. Avela’s permission system is made to be very flexible, which means it can work well with many kinds of setups, whether you are part of a small group or a big company.
Avela helps your organization decide who can see certain things and who can do certain jobs, either in groups or as individual members. This control helps you manage what each person can access and for how long. There are three main parts of this system:
- Roles
- Teams
- Members
These parts fit together like a pyramid: each layer supports the one above it.
What is a Role?
Roles are the main way Avela decides who can see what and how much they can see. A single person can only have one Role at a time. There are two basic types of roles:
- Organization-wide Role: Someone with this role can see information about the whole organization.

Institution-based Role: Someone with this role can see information just about one place (like a school) or a few of them. These roles allow you to set:
- The place or places the person is assigned to
- Whether they can see Responses from:
- Everyone in that place
- Responses from people already in the place or organization
- Responses from people new to the place or organization
How are Roles set up?
Every Organization starts with these roles already in place, so you can start using them right away. Depending on your plan and set up, there may be additional roles for your Organization.

How do I see and modify someone’s Role?
What is a Team?
A Team is a way to group people together in Avela, similar to how people work together in teams or departments at the office. Teams help decide what kind of information or student details each group can see and change. This way, teams don't accidentally change something important that another team needs. Like Roles, a single person can only be in one Team at a time.
How are Teams set up?
Depending on your plan and set up, there may be various Teams for your Organization. Reach out to your Avela success representative to see what your options and needs are.
What’s the benefit of using Teams?
If you’re interested in controling which groups of people can edit what kind of content, Teams is the best way to do it.
For example, you can add people to a Health Team that only has permission to modify the Health content of a form response. People in this Team will not be able to edit anything that is not Health-related.
