When a form is Published, it is potentially visible to families and/or staff depending on if it's active or not - so when you want to make changes to a live form, we call it Published editing. To protect data integrity and prevent disruptions to in-progress applications, editing capabilities are intentionally limited.
Forms that are live may already have:
Active form responses in progress or even already submitted
Rules that bind it to a follow on form, which may also contain responses
To avoid unintended issues, most edits are typically done in Draft mode before publishing. However, some limited edits are possible in the published version, as it's common to need to make minor adjustments or additions to the form as responses come in.
Published editing allows you to:
Edit existing questions and sections, allowing you to add new questions or new question answers
Create sections and questions with ease
Reorder questions and answers already created
Archive questions, and answers you no longer need
Modify or add logic to questions
How can I tell if my form is Live?
You can easily tell if the form is live by looking at the top of the screen - you'll see a banner indicating it is live, and you'll see the form state as "Published" in the title area.
Modifying the form
Just like when drafting a form, there are several things you can do on it:
Sections
Questions
- Creating and editing questions
- Conditional questions
- Moving questions
- Archiving questions
Activating or deactivating a form
Published forms don't need to be activated immediately - you may have a form ready to go, but perhaps you want to wait for a specific date and time to enable it.
- Published forms can be activated or deactivated as needed from the list of forms in the enrollment period, by interacting with this toggle:
