Segmenting students by their attending place can be helpful to:

Understand movement of students at a glance.
For example: How many internal students are leaving, to Springfield Elementary? How many are inbound?

Provide Staff with the access to the correct segment of students.
For example: A percentage of Staff can access only their current students, while others can access both current and applying students to their place.

Control Staff editability by segment when combined with Teams
For example: A Team of Staff can edit Current students’ forms, and only view Applying students’ forms.
How do I set a student’s attending school?

Go to the Student profile

In their profile, locate “Attended schools”
Note “Schools” is a glossary word and it can mean different things depending on your Organization.

Select an enrollment period you’d like to specify attendance for. This is an important step that helps preserve historical access to data for Staff that may be constrained to seeing, for example, only Current students of their place.

Select ‘Yes’ under ‘Are they a current student?’

Indicate the school they attended or are attending during that enrollment period. This will set the profile as a Current student of that place for that enrollment period.

If you select ‘No’ under ‘Are they a current student?’, they will be treated as an Applying student. They will also be treated as an Applying student if you don’t set a Student’s attending school altogether.
How do I control Staff access to Current & Applying students?
- When creating or inviting members, set their role as ‘Elevated school admin’. Not sure how to invite members? See How do I add Members?
- Assign them to the places they belong to.
- Use the toggles under ‘Access to’ to indicate which segment of students they should have access to. It can be either one, or both - but you must specify at least one.

If enabling ‘Current students’, the member will only be able to see any students whose current school is the one the member is assigned to, for that enrollment period

If enabling ‘Applying students’, the member will only be able to see any students who chooses the school the member is assigned to as part of their form.

If enabling both, the member will be able to switch between each segment when looking at their forms.

As a member, how do I see all the students coming to my school for a given enrollment period?
- In a form list, use the button on the top tight to ensure you're looking at 'Applying students'. Depending on what you have selected, this may read 'Applying students' or 'Current students'. Change it to Applying students if this reads 'Current students' by clicking on the dropdown.
- This is now the list of students who have listed your school as something they whish to apply to.
As a member, how do I see all the students currently in my school for the current enrollment period?
