Verifications help make sure data submitted in a form is reviewed and confirmed to be correct by a staff member. This can be used to confirm data like income, emergency contact, or student identification information.
All verifications are, by default, pending - until a staff member goes through the verification. Verifying data can be done on a per-student basis, or in bulk for multiple students and their forms at once.
Verifying individually
Verifying information on a student can be done within the form detail page. Each verification will be shown in a box with the questions required for the verification, asking if the information is correct. You can choose to click one of two buttons - Yes, to mark it as verified; or No, to indicate the information is rejected.
Verifying multiple forms
Verifying information on a form can be done from the form list. Select any number of forms you wish to verify, and click the "Verify" button.
This will take you to a page where you can select answers to verification questions for all the forms selected.
What does this look like for Staff?
These two outcomes, Verified and Rejected, as well as any Pending verifications, can be seen on the sidebar of the student's form, so you can tell at a glance which pieces of information are still worth a look, versus the ones that have already been verified or rejected.
Verifications in detail
Verifications on questions with file uploads can be seen with access to fields where you can easily compare or complete fields. In order for this to be tied together, questions need to be configured with the same verification.
This will upen up a dialog, allowing you to see the file or files while along with the fields associated with the verification, and review relationships to ensure the uploaded data is correct.
Verifications in form lists
Additionally, you can filter to the forms that have specific data already Verified, Rejected, or still pending. This way staff can go through a list of any pending items more quickly, or identify which submissions are already verified and can continue on through the process, and which ones might need a quick message to follow up because they're still Pending or Remain rejected.
What does this look like for Families?
Pending verifications look like regular answers to a Family, as they have not been touched by Staff at that point.
When a set of form questions are Verified, the parent will be unable to change the answers to the questions within the verification. This is to prevent the parent from changing their answers, causing the verification to be invalid.
If the information is Rejected, the answer will remain editable, with a bit of context for them to understand it was reviewed and considered incorrect, prompting them to try again.
