Quickly access the exact data setup you need—without having to filter or customize your view every time. A Saved View captures your current form list view, including any combination of:
- Applied filters
- Visible columns
- Search terms
- Sort order (if applicable)
Once saved, your view is pinned to the left navigation for quick, one-click access.
How do I save a view?
1. Go to the form you'd like to customize the view for
2. Apply filters, change its columns, or search as needed. You'll now see a new button show up on the left of the nav, called "Save view"
3. Once you're happy with the setup, click the "Save view" button.
4. Give your view a name, and a descriptive icon if you like. For example, "Sibiling follow up on Fridays"
5. Click Save
That's it! You'll now see your view pinned on the left navigation.
How do I find my saved view?
Saved views are sorted by two parameters:
- Whether they are private or shared, so private ones you create will be lower on the list, below the form they were saved off of.
- When they were created, so the latest will be shown higher up on the left nav than older ones, below the form they were saved off of.
Click a saved view to load it, and that's it!
Editing or deleting a view
To update or remove a saved view:
- Hover over the view name in the left navigation.
- Click the ••• (more options) icon.
- Choose Edit or Delete, depending on what you want to do
Sharing a view
Depending on your Avela plan, a saved view can be shared with others in the same organization as you. You can share it with team members or, if your organization is set up with Teams, entire groups of people.
- Hover over the view name in the left navigation.
- Click the ••• (more options) icon.
- Choose Share.
- To share it with team members, look for them by either name or email address. To share with Teams, look for the team name
- If you share a view with a Team member who is also a part of a Team, and the two have conflicting permissions (Example: Member is an Editor while the Team has Viewer permissions), then the Member permissions will override the ones set for the team. That way, you can invite a whole team (or several) and make select people editors easily.
- Select the people you'd like to share it with. You can select more than one team member, and more than one team as well - or the combination of both.
- Indicate a permission level - Editor, or Viewer.
- Editors can rename or delete the view, as well as edit other's permissions
- Viewers can only access the responses and work with them, but they cannot rename or delete the view. They can still take action on these forms if they have permissions on them, as well as continue filtering or searching within to aid their workflows.
- Make someone else the owner - useful to fully transfer the ownership if you're on vacation or leave and would prefer someone else to manage
A few more details
The saved view shows no responses
If you saved a combination of customizations that yields no results, you may have saved a view that will not have any responses in it.
Additionally, if someone shares a view with you and the responses within you don't have permission to access, it will look as if it was empty to you.

Saved views can be very powerful, and help you in setting up complex workflows that help others in the organization as well. Here's a few examples of use cases we've heard are particularly useful, that you can adapt to your organization:
- Waitlisted, with custom student information
- Accepted offers
- Previously submitted forms that are back in progress
- Unsubmitted forms that are nearly complete
- Submitted and tagged with an admin reviewer name
