Step 1: Create your message in English
Navigate to Messages on the family you'd like to reach out to and select Send message
Enter:
Subject line
Email content
The English version is considered the original message and will be used as the source for translations.
đź’ˇ Tip: You can use variables (for example,
{{parent.name}}or{{student.name}}) in the original message. These will carry over automatically into translated versions.
Step 2: Translate the message
Click Translate to [language] (for example, Translate to Spanish - this will depend on your recipient's preferred language)
A translation drawer opens, showing:
The original English content
A translated version for the selected language if you're using Avela Intelligence
Step 3: Review and edit the translation
Before confirming, you can:
Edit the translated subject line
Edit the translated email content
Adjust tone or wording to better fit your audience
⚠️ Important: Automatic translations are generated with Avela Intelligence. Always review important messages for accuracy before sending.
Step 4: Confirm the translation
Click Confirm translations
The translated version is saved alongside the original
A confirmation message appears indicating the translation was applied
Once confirmed:
The translated content is brought into view
You can continue to make tweaks if needed
You’ll see the message marked as Translated to 1 language (or more, if applicable)
Step 5: Send the message
When you send the message:
Families receive the message in their preferred language, if a translation exists
If no translation is available for a recipient’s language, they receive the original English version
đź’ˇ Best practice: Preserving the original English message is recommended when sending emails, even when sending translated versions.
Viewing the messages later on
Conversations with the family will show under Messages. Depending on the channel used (email or SMS), you may see both the translated message that was sent and the original message in English, or just the translated version, as is the case with SMS. In those cases, you can use the "Show original English" button to make it easier to see what was sent.
Things to know
Translations are created per message, not globally reused
Translations work for both SMS and Email
Variables remain dynamic and populate correctly in all languages
Attachments are shared across all language versions, but inline images are specific to the translation tab you're working with - useful if you're sending communications with images containing translated text
You can return to edit the English or translated versions before sending
